Visited by over 1 million people each year it is a firm favourite in the UK for music promoters as well as business and sports event organisers having hosted global artists such as Bruce Springsteen, Coldplay, Rihanna and MTV Crashes event.

Wasps acquired the Ricoh Arena in October 2014 and set an Aviva Premiership attendance record for a home ground fixture in their first game at their new home, in December of that year. With this ground breaking acquisition Wasps is now one of the largest rugby clubs in Europe with world class facilities.

About the role

To work within the Event Planning Team achieving successful delivery of Conference and Meeting Business at the Ricoh Arena. 

To enhance the standard of events and increase the incremental sales spend of the event. 

Proactively working with organisers to achieve a successful event for both the organisers and the venue.

To operate and maintain the venue booking system (Delphi), produce detailed Event Banqueting Orders ensuring the highest standards of accuracy within a set time scale for customers, staff and management information

Collecting all event feedback from clients post event to achieve successful rebook of future events.

Key tasks will include;

  • Liaise with clients to create detailed Event Banqueting Orders for both Clients and Venue Operational Teams 
  • Providing Venue, Contractor and Partner Information to clients to help with the smoothing running of the Conference or Meeting
  • Liaise with onsite and offsite contractors arranging additional services for clients and drive incremental revenue
  • Accurately process all documentation and correspondence in a timely manner
  • Attend pre-event client and contractor meetings to obtain final event details for venue operational teams
  • Ensure all event documentation is signed off by both client and contractors and submitted to venue teams within agreed venue timeliness
  • Working with Health and Safety Manager to ensure that all H&S Documentation is completed and submitted within set timelines
  • Liaise regularly with operational departments to ensure clients expectations and requirements are met
  • Ensure detailed P&Ls are produced all events over £10,000.00 achieving set profit percentages
  • Representing the department in professional manner to clients, suppliers and internal colleagues
  • Gathering post event feedback from events and circulating to relevant departments
  • Attend weekly operational function sheet meetings, event planning meetings and monthly exhibition internal meeting
  • Management of client accounts to increase business growth and re-booking of events

Staffing Administrator

About the role

The role and responsibilities of a staffing administrator is to coordinate the steward staffing needs of the business on behalf of Arena Coventry Limited. This will include staffing Wasps home rugby fixtures at Ricoh Arena as well as any other event which is managed onsite by Arena Coventry Limited.

Key tasks will include;

  • To be the first point of contact for the Casual stewards held on the ACL database.
  • Liaise and co-ordinate the staffing of Wasps home rugby fixtures along with any other event managed by ACL onsite at Ricoh Arena.
  • Liaising with the Operations Department and Safety Manager as to the requirements per event.Delivering the required staffing levels using the in-house casual database as well as liaising with external agencies to provide the shortfall when needed.
  • Support the HR Manager in recruiting new casual workers which may also include attending induction evening s for new starters.
  • Administer all casual worker personnel files including new starters ensuring they are kept up to date in line with the company policies and update with any training achieved by the casual worker.
  • Ensure all details held onsite for the casual workers are current and amended accordingly when requested. i.e. next of kin details, email and telephone numbers.
  • Communicate shift requirements with the entire database and filter when needed for specific events i.e. SIA requirements only.
  • Process the signing in sheets for payroll post event and provide to payroll for payment in line with the set deadline.
  • Coordinate all casual workers requirements internally i.e. holiday pay, access pass requirements etc.
  • Attend all Wasps home rugby fixtures as well as ad-hoc events where by casual stewards are required, to cover staff check in and out.
  • Support the operations team on match/event days in between staff check in/out.
  • To provide administrative support to the entire Human Resources department where needed which may include but is not limited to filing, coordinate training for permanent employees as well as casual workers.

 

The successful candidate

Will be well organised and be able to prioritise actions whilst maintaining an attention to detail and accuracy in a fast paced environment.

Will also possess excellent written, interpersonal skills and experience of report writing and writing to senior managers and other authorities.

Will also possess excellent Microsoft skills including Excel and Powerpoint.

Will be equally happy working in a busy office environment but also on occasions working independently.

Whilst not essential some operational experience would be an advantage.

Previous Staffing knowledge would also be desirable but not essential

Hours of work

This is 30 hours per week, preferably 5 out of 7 days. The flexibility to work outside normal office hours and cover event days both match and non-match days is a requirement of this role due to the nature of tasks involved. This may include weekends and public holidays 

What’s on offer?

An annual salary of £16,000 (Actual Salary £12,800) and 28 days annual leave pro rata including Bank Holidays.

We are looking to recruit a Sport & Exercise Medicine Consultant with a special interest and proven track record in the management of elite athletes & preferably experience working in the elite Rugby environment.

This opportunity has come at a very exciting point in the club's history and coincides with the recent relocation to a new training facility based in the Coventry area.

The right candidate will be able to immediately add value to our forward thinking and dynamic multi-disciplinary Performance department.

Job Description

Role Summary

The doctor will work alongside the Head of medical services & will lead 2 weekly Sports medicine & injury clinics at the training ground.

Key Responsibilities

Lead 2 weekly Sports medicine & Injury clinics at the training ground (Monday morning + Wednesday or Thursday morning)

Provide accurate diagnosis and provide advice on the management of all

significant injuries in consultation with the Head Physiotherapist.

Interpretation of all medical investigations

Contribute to the overall medical plan via contributing to injury prevention initiatives & issues relating to clinical governance.

Provide support & mentorship to Academy Doctor.

Must have:

Registered with the General Medical Council (GMC)
Diploma or MSc in sport and exercise medicine
Can demonstrate that he/she has undertaken the necessary CPD specific to sport and exercise medicine
Professional indemnity insurance
Previous experience working with Elite Athletes as part of an MDT
Commutable distance to Coventry

Highly desirable:

Have worked as a Sports Doctor in a Premiership/Championship club or equivalent for a minimum of three years at Senior Squad level

Immediate care in sport Qualification (ICIS)

Proficient in the use of & access to Diagnostic Ultrasound

Wasps Developing Player Programme (DPP)

“Providing high quality player development experiences, encouraging lifelong participation in the game and enabling those with potential to be clearly identified and supported.”

The Wasps Academy has responsibility for developing potential elite players in a geographical region that covers Buckinghamshire, Oxfordshire, Coventry and Warwickshire, with a DPP Centre in each of the regions. The DPP’s are a step on the player development pathway, with successful players progressing into the Wasps Junior Academy.

With the continued development and expansion of the Wasps DPP we are looking to recruit for a number of roles across all of our regions.

Some of the roles will receive a small payment towards expenses, with other roles being on a volunteer basis. All successful applicants will receive Wasps kit as well as free access to CPD events run by Wasps.

The majority of the sessions will run weekly during the rugby season on Monday evenings. There will be approximately 20 sessions throughout the season.

Successful candidates will be responsible for stewarding public areas of the stadium including the main hospitality areas ensuring that our guests receive excellent customer service through providing of clear and accurate information as well as ensuring the safety of our guests.
